ESG Change Room is currently operating in a proof-of-concept phase.
During this phase, when a brand deems that its data is sensitive, we recommend de-identifying that information prior to upload or use within the platform.
The platform does not require personally identifiable or sensitive data to operate effectively during this stage.
The following policy represents our intended framework for responsible AI use, data security, and privacy management as we move toward full production.

Terms of Usage

Welcome to ESG Change Room. These Terms of Usage (“Terms”) govern your access to and use of our platform, tools, templates, training, and support services (collectively, the “Services”).
By using the Services, you agree to these Terms. If you do not agree, please do not use the platform.

1. Who We Are

The ESG Change Room is a compliance-as-a-service platform built for fashion and retail brands.
We combine AI-powered tools, expert-built templates, structured training, and community-based support to help businesses streamline ESG compliance and drive measurable impact—without hiring more staff or burning out.

2. Definitions

“We,” “us,” “our” means ESG Change Room.
“You,” “your,” “User” refers to the individual or organisation using the Services.
“Services” refers to all platform features, tools, templates, calls, digital downloads, and training content made available through ESG Change Room.
“Account” means your registered login credentials.

3. Use of Services

With an active subscription, you are granted a non-exclusive, non-transferable, revocable licence to use the Services for internal business purposes only, including:

Downloading, copying, and adapting templates for internal use
Sharing training content and recordings with internal staff
Granting platform access to up to three (3) employees per subscription
Participating in group coaching calls, cohort forums, and private sessions (if applicable)

You may not:

Resell, sublicense, or publicly distribute platform content or tools
Share login access beyond the agreed number of users
Use the Services for unlawful, abusive, or deceptive purposes

The ESG Change Room is designed to reduce the administrative burden on ESG leads by making ESG education and implementation scalable across your team.

4. Account Management

You are responsible for maintaining the confidentiality of your login credentials and ensuring appropriate internal use.
Notify us immediately if you suspect any unauthorised access or misuse.

5. Platform Features & Ongoing Content

The ESG Change Room is continuously updated to stay relevant and aligned with evolving ESG expectations.
As part of your active membership, you will receive:

At least one (1) new AI-powered tool (“bot”) per quarter
At least one (1) new template per quarter
One (1) new training module every six (6) months
Annual updates to existing modules

All new content released during your subscription term is included at no additional cost.

6. Intellectual Property

All platform content—including templates, software tools, visual assets, written guides, and training materials—is the intellectual property of ESG Change Room or its licensors.

You may:

Use and adapt materials internally
Share content across your team for internal education

You may not reproduce, sell, publish, or distribute content externally without written permission.

7. Fees & Subscription Terms

Subscriptions are billed annually unless otherwise agreed in writing.
Your rate is locked for the duration of your subscription and will not increase mid-term.
You will be invoiced after confirming your intention to join.
Refunds are not provided for partial use or early cancellation.
Additional users or customised support may be arranged by separate agreement.

8. Data Ownership & Privacy

You retain full ownership of all data you upload or enter. We do not claim rights over your proprietary or supplier-related information.
We collect limited usage analytics to improve platform performance and support.

9. Platform Availability & Support

We aim to maintain 99% uptime and provide advance notice for planned maintenance or updates.
Support is available via:

Email
Weekly group coaching calls
Private cohort chat groups (e.g., Slack)
Confidential 1:1 support for sensitive supplier or audit queries

10. Cancellation & Termination

You may cancel your subscription at the end of your billing term with 30 days’ written notice.
We reserve the right to suspend or terminate access if:

These Terms are violated
The platform is misused or misrepresented
Abuse or inappropriate conduct occurs toward our team or community

Upon termination, platform access will cease.
You may retain previously downloaded materials for internal use.

11. Disclaimers

All content provided through the ESG Change Room is for informational and educational purposes only.
It does not constitute legal, financial, or professional advice.
Users are responsible for seeking their own independent guidance when required.

12. Limitation of Liability

The Services are provided “as is” and “as available.”
To the fullest extent permitted by law, we disclaim all warranties and limit our total liability to the amount paid by you in the 12 months preceding any claim.
We are not liable for indirect, incidental, or consequential losses.

13. Fair Use & Integrity

Use of the platform is based on a shared commitment to ethical conduct and collective impact.
Misuse of templates, bots, training access, or coaching time may result in suspension or termination of service.

14. Force Majeure

We are not liable for delays or interruptions caused by events beyond our control, including natural disasters, internet outages, or third-party infrastructure failures.

15. Changes to These Terms

We may update these Terms from time to time. When we do, we will revise the Effective Date above.
Significant changes will be communicated directly.
Continued use of the platform constitutes acceptance of the updated Terms.

16. Governing Law

These Terms are governed by the laws of New South Wales, Australia.
Any disputes arising will be subject to the jurisdiction of the courts in that region.
